Hello Emerald Gardens Neighbors!

Our upcoming HOA board meeting, Tuesday, November 3rd, will be held virtually using Zoom. We understand that not everyone has used Zoom before, so we’ve put together some simple instructions to help you join.

You do not need to create a Zoom account or pay anything to attend the meeting.

Option 1: Join Using a Computer, Tablet, or Smartphone

1. Open the email containing the Zoom meeting invitation.

2. Find the blue meeting link and click or tap it.

3. If prompted to open or download Zoom, follow the instructions on your screen. On a computer, you may also see an option to join directly from your web browser.

4. Enter your name if requested, so we know who is attending.

5. If prompted, enter the meeting passcode provided in the invitation.

6. Select Join Meeting. If you see a message asking you to wait for the host, simply leave the window open until you are admitted.

7. When asked about audio, select Join with Computer Audio, Wi-Fi or Cellular Data, or the similar option shown on your device.

That’s it! You’re in!

Option 2: Join by Telephone

If you do not have a computer or smartphone, or would simply prefer to participate by telephone, you may be able to call into the meeting using a regular phone.

1. Locate the telephone dial-in number in the Zoom invitation when Sunstate disperses it. 

2. Call that number.

3. When prompted, enter the Meeting ID followed by the # key.

4. If prompted for a participant ID, you can generally press # to skip it.

5. Enter the meeting passcode if requested, followed by #.

You should then be connected to the meeting by telephone.

Please note: Telephone participation depends on the dial-in information provided with our meeting invitation.

During the Meeting

• To hear others: Make sure your device’s volume is turned up.

• To speak: Select the microphone icon labeled Unmute when it is your turn. Select Mute when you are finished.

• To ask a question: You may use the Raise Hand feature, generally found under Reactions or Participants. We will also provide instructions during the meeting for residents wishing to speak.

• To see everyone: If you are on a computer, you can select Gallery View to see multiple participants at once.

A Few Helpful Tips

• Try joining at least 10 to 15 minutes early so you have time to get comfortable.

• Find a quiet place where you can hear clearly.

• You do not need to turn on your camera if you prefer not to.

• If you accidentally disconnect, simply click the meeting link again or redial the telephone number.

• If you cannot hear anyone, check your volume and make sure you have joined the meeting audio. If those are in working order, PLEASE let us know if someone needs to be louder or repeat something!
